Applications are accepted on a first-come, first-served basis. We will contact you immediately if we are unable to accommodate you.You will receive a vendor packet indicating that you are a vendor 1 week prior to the festival this includes booth assignment number. We will not accept vendors representing the same company. Similar is allowed.
YOUR ASSIGNED SPACE NUMBER IS FINAL. NO REFUNDS WILL BE MADE.

ASSIGNMENT OF VENDOR SPACE:
Space will be assigned with due consideration to a Vendor’s preference based upon date of receipt of application & payment. Specific space locations and/or exhibitor requests cannot be guaranteed. All requests for specific space and/or special requests are subject to review and approval by the Fest. Space locations and space numbers are not guaranteed until the day of the festival. Maps will NOT be given in advance. You are expected to set up in the space provided. Setting up in a space other than the one provided may result in removal from the festival.
We prefer all items to be handcrafted. The Fest reserves right of refusal to any exhibitor regardless of past participation. Please provide website or Facebook address where images and/or samples of your work can be viewed. You may also upload images.
BOOTH DIMENSIONS AND DESIGN:
Booth size will be 10’ x 10’. 10×10, 10×20, 14×20 Food Truck Spaces. If you take up more space than that – in width or depth – you may be charged for additional space. Space reservations are for space only. Tents, tables & chairs are not provided. Vendor is responsible for own signage. All booths must be freestanding. No bolts, screws, hooks or nails shall be driven into buildings, trees, sidewalks or pavement. Once assigned a space you may not move unless approved by host. If you are set up in the wrong space and it is designated for a winery you will be asked to move to the correct space.
***Make sure if you are sampling wine/alcoholic beverage, all guest MUST have a wristband, should you serve someone without a wrist band, they may be under 21 and it is not legal to serve guest under the age of 21. We supply all glasses for all paying guest, we also ID all guest with wrist bands. You may NOT charge guests with tickets/wristbands a fee for sampling. Wine sales by the glass, bottle and case are encouraged. Wine by the glass must be no more than 5oz.
LIABILITY AND INSURANCE:
All vendors who provide food of drinks for this event must have insurance policy naming Winetober Fest as additional insured. Wine vendors must have a Limited Winery Exposition Permit to sell wine. All Vendors are responsible for the collecting and reporting of PA state sales tax.
Standard 110V service will be provided upon request. Please notify us at the time of application if you require access to 220V.
BOOTH SPACE SET-UP AND CARE:
Setup begins 8-11am. All vendors must be set up by 12pm. Should you need more time to set up or wish to do a partial set up on Friday, contact Tara firstname.lastname@example.orgExhibit booths must be manned at all times. There shall be no early breakdowns. Booths must remain set up until 6PM Saturday.
Traffic and parking patterns will change to accommodate various events during the festival. It is your responsibility to be aware of traffic and parking restrictions. Contact the coordinator should you require your vehicle near your booth. We will try to accommodate. 1 parking space for 10×10 vendor 2 parking spaces for 10×20.
Fest will take place rain or shine. NO refunds will be issued due to weather. Events are not cancelled due to weather. If you choose not to attend/participate due to the weather no fees will be returned. Events on proceed on the date rain or shine. **No show/cancel with in 2 weeks of the event**
Should you cancel or not show up for this event, we will not advertise for you for your business the next 2 events. If after 2 consecutive events which your company shows up, we will then advertise your business at the following event. We advertise for you on Facebook, our website, radio website, other event websites and email blast.
Wine Check: starts at 1:30 and Last pick up is 5:15. Folks can pick up wine until 6:30 but if you sell wine after 5:15 you must either have them take it with them or deliver to wine check area before you leave. Minimum wine check 2 bottles. No max.
